This Cancellation & Refund Policy (“Policy”) describes strict cancellation, rescheduling, no-show, and refund terms for services associated with [ LEGAL BUSINESS NAME ] (“we,” “us,” “our”). This Policy applies to in-person services, telehealth services, consultations, and any online payments made through our website or payment links (collectively, “Services”).

This Policy is intended to be clear and enforceable. By scheduling, purchasing, paying for, or receiving Services, you agree to this Policy. This Policy should be read together with our Financial Policy and Terms of Use (linked in the Site footer).


1) Appointment Cancellations and Rescheduling

A) How to cancel or reschedule

To cancel or reschedule, follow the instructions provided at the time of scheduling or contact us directly.

B) Rescheduling is discretionary

Rescheduling may be offered at our discretion based on clinician availability, operational constraints, and applicable law. Rescheduling may be subject to:

  • a rescheduling fee, and/or
  • forfeiture of a deposit (if applicable), and/or
  • revised scheduling terms.

C) Cancellations do not create any right to a refund

Cancellations do not create any right to a refund. Refunds are governed exclusively by Section 4, which includes a strict no-refund policy once Services are delivered.


2) No-Shows and Late Arrivals

A) No-shows

If you do not attend a scheduled appointment without completing any required cancellation steps, you are considered a “no-show.”

No-shows may result in forfeiture of all deposits and/or fees paid, and no refunds will be issued. We may also require payment of any remaining balance for reserved time to the fullest extent permitted by applicable law.

B) Late arrivals

If you arrive late, your appointment may be shortened, modified, rescheduled, or treated as a no-show depending on clinician availability and scheduling constraints.

Late arrivals may result in forfeiture of deposits and/or fees paid, and no refunds will be issued. If you receive reduced time due to late arrival, you remain responsible for the full scheduled fee.


3) Deposits (Non-Refundable)

All deposits are non-refundable. Deposits reserve limited scheduling availability and administrative preparation. Deposits may be applied toward eligible Services as disclosed at the time of payment.

If you cancel, reschedule outside any disclosed rescheduling window, or do not attend, the deposit is forfeited.


4) Refunds (Strict No-Refund Policy After Delivery)

A) All sales final once Services are delivered

ALL FEES ARE NON-REFUNDABLE ONCE SERVICES ARE DELIVERED.
For clarity: no refunds will be issued for any reason after Services are delivered, including (without limitation) dissatisfaction with outcomes, perceived lack of improvement, adverse experiences, scheduling issues after delivery, changes in personal circumstances, or decisions to discontinue.

B) Definition of “delivered”

For purposes of this Policy, Services are considered “delivered” when any of the following occurs (whichever happens first):

  1. An in-person or telehealth consultation begins, including clinician review time;
  2. Any appointment time is made available to you and reserved on the schedule (including where you attend late or do not fully utilize the time);
  3. Any clinical service, procedure, or treatment is performed in whole or in part;
  4. Any package, bundle, plan, or session is started, scheduled, or any portion is used;
  5. Any preparatory, administrative, clinical intake, or individualized planning work is completed for your benefit.

C) No refunds based on results or outcomes

Because outcomes vary and depend on individual factors, we do not offer refunds based on results. Payment does not guarantee a specific outcome.

D) Packages, bundles, memberships, and prepaid services

If you purchase a package, bundle, membership, or prepaid service, the purchase becomes non-refundable once any portion is used, started, or initiated, and unused portions (if any) are not refundable.

E) Administrative or processing fees

To the fullest extent permitted by applicable law, administrative fees, processing fees, and third-party fees associated with Services or payments may be non-refundable.


5) Chargebacks and Disputed Charges

If you believe a charge is incorrect, contact us first so we can attempt to resolve the issue.

Initiating a chargeback does not change our no-refund policy. We reserve the right to dispute chargebacks using documentation of scheduling, service delivery, communications, and records of services provided, to the fullest extent permitted by applicable law.

We may restrict future scheduling or Services for accounts associated with repeated chargebacks or suspected fraud, to the extent permitted by applicable law.


6) How Credits (If Any) Are Handled

If we choose, in our sole discretion, to issue a credit as a goodwill accommodation, such credit:

  • is not a refund,
  • may have an expiration date,
  • may be non-transferable,
  • and may be subject to additional terms provided at issuance.

We are not obligated to provide credits.


7) Exceptions and Legal Rights

Nothing in this Policy is intended to limit any non-waivable rights you may have under applicable law. If any portion of this Policy is found unenforceable, the remainder remains in effect.
